1. About This Policy

This Privacy Policy explains how we collect, use, disclose, transfer, retain, and protect personal data when you use RegSeek, including our website, early access forms, accounts, platform features, paid services, communications, support, payments, invoices, and payout-related functions.

RegSeek is intended for business and professional users. It is not intended for children or for patient-identifiable health data.

2. Personal Data We Collect

Depending on how you use RegSeek, we may collect:

• account and contact details, such as your name, email address, role, login details, and communication preferences;
• company and professional information, such as company name, job title, country, professional background, experience, credentials, expertise, availability, and related profile information;
• buyer, provider, expert, and service information, such as requests, proposals, responses, project descriptions, profile content, conflict or restriction information, messages, attachments, feedback, and support communications;
• billing, payment, invoice, tax, and payout-related information;
• technical and usage information, such as IP address, device/browser information, log data, security events, session information, cookies, and platform usage activity; and
• information generated through our review, moderation, security, support, and service operations.

Please do not submit patient-identifiable health data, protected health information, medical records, clinical subject data, or patient-level data to RegSeek.

3. How We Use Personal Data

We use personal data to:

• provide, operate, maintain, secure, and improve RegSeek;
• create and manage accounts, access, onboarding, permissions, and user roles;
• support business introductions, matching, sourcing, advisory, messaging, and related service workflows;
• process payments, invoices, refunds where applicable, earnings, payouts, and related financial records;
• review, moderate, redact, or manage content to support trust, safety, confidentiality, and controlled disclosure;
• communicate with you about accounts, requests, invitations, messages, payments, payouts, support, security, policy updates, and service updates;
• provide customer support and respond to questions or requests;
• detect, prevent, and investigate misuse, fraud, security issues, payment issues, confidentiality concerns, and policy violations;
• analyse usage and improve our services; and
• comply with legal, tax, accounting, regulatory, dispute, and recordkeeping obligations.

4. AI, Automation, and Review

RegSeek may use automated tools, AI-assisted tools, and human review to help operate the platform. These tools may support functions such as content review, redaction, moderation, summaries, profile quality, matching support, security, and service operations.

AI-assisted outputs may be incomplete or inaccurate and may be reviewed by our team. We do not treat AI-assisted outputs as professional advice from RegSeek.

5. Cookies and Similar Technologies

We use necessary cookies and similar technologies for authentication, security, session management, account access, and platform functionality.

We may also use internal analytics to understand usage and improve RegSeek. We do not currently sell personal data or share it for cross-context behavioural advertising. If we introduce non-essential analytics, advertising, or tracking technologies, we will update this Policy and provide any consent or opt-out controls required by applicable law.

6. How We Share Personal Data

We may share personal data with:

• authorised RegSeek users, where needed to provide the platform and depending on account role, permissions, service stage, and disclosure settings;
• service providers that help us operate RegSeek, such as hosting, database, authentication, email, file storage, analytics, AI/automation, payment, invoice, payout, support, security, legal, accounting, and infrastructure providers;
• payment processors, payout providers, banks, and financial service providers as needed for payments, invoices, refunds, earnings, and payouts;
• professional advisers, auditors, insurers, and service partners where needed for business, legal, accounting, risk, or compliance purposes;
• courts, regulators, law enforcement, tax authorities, or other parties where required by law or reasonably necessary to protect rights, safety, security, confidentiality, payments, or marketplace integrity; and
• parties involved in a merger, acquisition, financing, restructuring, sale of assets, or similar business transaction, subject to appropriate safeguards.

We do not sell personal data. We also do not currently share personal data for cross-context behavioural advertising.

7. International Transfers

RegSeek is operated from Singapore, and our users and service providers may be located in different countries. Your personal data may be transferred to or processed in Singapore and other countries.

Where required by applicable law, we take steps intended to ensure that personal data transferred overseas receives a comparable or appropriate level of protection.

8. Data Retention

We retain personal data for as long as reasonably needed to provide RegSeek, maintain accounts, operate services, process payments and payouts, support security and audit needs, resolve disputes, enforce agreements, comply with legal, tax, accounting, and regulatory obligations, and support legitimate business purposes.

When personal data is no longer needed, we will delete, anonymise, or otherwise handle it in accordance with applicable law and our internal retention practices.

9. Security

We use reasonable administrative, technical, and organisational measures intended to protect personal data against unauthorised access, collection, use, disclosure, copying, modification, disposal, or similar risks.

No system is completely secure. You are responsible for keeping your login credentials confidential and for limiting the personal or confidential information you submit to what is necessary.

10. Your Rights and Choices

Depending on where you are located and which laws apply, you may have rights to request access to, correction of, deletion of, or restriction of your personal data. You may also have rights to withdraw consent, object to certain processing, request portability, or opt out of marketing communications.

You can contact us at privacy@regseek.com to make a privacy request. We may need to verify your identity before responding. We may decline or limit requests where permitted by law, such as where information must be retained for legal, security, dispute, payment, or legitimate business reasons.

You may opt out of marketing communications, but we may still send transactional, security, payment, legal, and service-related communications.

11. Children's Privacy

RegSeek is intended for users aged 18 or older and for business or professional use. We do not knowingly collect personal data from children. If you believe a child has provided personal data to RegSeek, contact privacy@regseek.com.

12. Third-Party Links and Services

RegSeek may include links to third-party websites or services. Their privacy practices are governed by their own policies, not this Privacy Policy.

13. Changes to This Policy

We may update this Privacy Policy from time to time. If changes are material, we may provide notice by email, in-app notice, or website notice where appropriate.

The updated Policy applies from the effective date stated in the updated version.
